I understand that if my Vendor or Performer application is successful, I agree to abide by the terms and conditions of participation as outlined below.
By submitting your vendor application, you acknowledge and agree to the terms and conditions outlined below. If your application is successful, you will receive a confirmation, followed by a contract and invoice. You must sign and return both within 7 business days. Only selected vendors will be contacted.
Upon acceptance, payment is due within 72 hours. If not received, your space will be forfeited.
All vendors must provide proof of liability insurance with a minimum coverage of $2,000,000, no later than 14 days before the event. If documents are missing or incomplete, the organizer reserves the right to cancel your participation unilaterally.
Vendors must also ensure that all required business licenses are valid and submitted with their signed agreement.
Vendors are responsible for collecting applicable sales tax and processing credit and debit transactions.
Vendors are legally liable for any negative consequences resulting from the purchase or consumption of their goods.
Vendors agree to sell only products outlined in their approved application. Any changes must be pre-approved by the organizers.
Vendors are responsible for obtaining any permits or approvals necessary for their operations.
Vendors must be market-ready 30 minutes before the event and must remain at their designated space until the end of the event.
At teardown, the vendor space must be left clean and free of garbage/recyclables.
Load-in instructions and final booth location will be sent at least two weeks prior to the event.
North Shore Kids Fest will not be liable for loss, damage, theft, or any failure to perform due to circumstances beyond its control (e.g., natural disasters, pandemics, acts of terrorism, etc.).
Booth space (10×10 ft) is provided free of charge to nonprofit organizations, educational institutions, and businesses whose children are participating in stage performances, subject to organizer approval.
Additional space beyond 10×10 ft must be purchased.
Final booth location is determined by the event organizers and communicated at least 2 weeks before the event.
Vendors understand and accept that booth participation includes the obligation to engage children in an interactive or educational activity, agreed upon during the application process.
By participating, vendors agree that submitted photos, booth displays, and products may be used in festival marketing (e.g., website, social media).
Mentions on North Shore Kids Fest social media platforms are not guaranteed and are at the sole discretion of the organizing committee, unless otherwise specified in a separate agreement.
Vendors shall indemnify North Shore Kids Fest and Wonder Wonders Foundation against any liability, fines, damages, legal fees, or claims resulting from their participation, including actions, negligence, or product-related issues.
Wonder Wonders Foundation is not liable for any damage or loss incurred by vendors or participants due to lack of insurance or force majeure events.

A valid business license must be submitted at least 2 weeks before the event.
All food vendors must be approved by Vancouver Coastal Health (VCH) and comply with all food safety regulations. Proof of approval must be submitted no later than 14 days prior to the event. Failure to do so will result in removal from the festival.
Vendors are solely responsible for their operations, including permits, licenses, and compliance with all health and safety laws.
Specific setup times and booth placement will be communicated in advance.
Vendors must be fully operational 30 minutes before the festival begins and must not leave early. Early departure without a valid reason will affect participation in future events.
Electricity can be provided upon request, but must be requested in advance.
Vendors agree to be photographed and grant permission for images to be used in North Shore Kids Fest marketing materials.
Vendors are legally responsible for any negative consequences following the purchase or consumption of their products.
Vendors agree to indemnify North Shore Kids Fest against any loss, damage, liability, or legal costs resulting from their actions, negligence, or product-related issues.
In the unlikely event of cancellation, no compensation for loss of income will be provided.
By agreeing to perform at the North Shore Kids Fest, participants accept the following terms and conditions:
Performers will be provided with a free 10×10 ft booth space within the Kids Market area. Performers are expected to use this space to actively engage children in an age-appropriate, interactive activity, agreed upon with organizers in advance.
Performers (or their guardians/organizations) guarantee that all participating children have their own insurance coverage. Proof of coverage may be requested.
Performers must submit all technical information and performance music in the format specified by the organizers at least 14 days before the event.
Performance order and time slots will be assigned by the event organizers and are not open for negotiation.
Performers must arrive and check in at least 30 minutes prior to their scheduled performance time.
By participating, you grant permission for photographs and videos of your performance to be used in promotional materials for North Shore Kids Fest.
Performers (or their organizations) agree to indemnify North Shore Kids Fest from any claims, liabilities, or damages resulting from their actions, setup, or conduct during the event.
North Shore Kids Fest is not liable for any damage, loss, or injury unless caused directly by gross negligence on the part of the organizers.
